The small print, in plain English

1About these terms

The XL Suite is operated by Sports and Lounge Ltd. When you pay a booking fee you're agreeing to these terms. "You" means the person who made the booking, and you're responsible for your guests and for anyone you bring in to work at your event.

2Booking and payment

• A booking fee of 50% of the hire price secures your date. Until it's received, the date is not reserved.
• The booking fee is non-refundable in all circumstances.
• The remaining 50% is due 14 days before your event. If it hasn't arrived by then, we may release the date and keep the booking fee.
• Prices are as quoted to you in writing and include VAT where it applies.

3Damage deposit

• A £100 damage deposit is payable with the final balance.
• It's returned in full within five working days of your event , less any deductions for damage, missing items, or cleaning beyond what's normal after a celebration.
• If the cost of putting things right is more than £100, the difference is invoiced to you.

4Damage and cleaning

• You're responsible for any damage to the suite, its furnishings, fittings and equipment caused by you, your guests or your suppliers. It's charged at the cost of repair or replacement.
• Leave the suite as you found it. Cleaning beyond the ordinary is charged.
• Nothing is to be fixed to walls, ceilings or fittings without our agreement.
• No confetti, glitter, naked flames or smoke machines.

5Timings

• Your hire period is the one on your booking, and set-up and clear-down happen within it.
• Additional set-up time before your hire period is charged at the hourly rate.
• Overrunning your booked time is charged pro rata at the hourly rate. Staying on is subject to the suite being free.

6Cancellations and changes

• The booking fee is non-refundable, so we encourage you to pay it only once everything is confirmed.
• If circumstances change — a different date, or a cancellation — we decide case by case, depending on how much time there is between your request and the booked date, and whether the suite is available.
• If we can't provide the suite for reasons beyond our control, we'll offer you an alternative date or a full refund of everything you've paid. That is the limit of what we owe you in that situation.

7Catering, decoration and suppliers

• Bringing your own catering is currently permitted at no extra charge. This is subject to change as we select catering partners; any change will be confirmed before your event.
• Use of the kitchen is by arrangement when you book.
• We encourage you to use our in-house stylist, who works within your hire period. It is possible to decorate the suite yourself; any additional set-up time is charged at the hourly rate.
• We may ask any external supplier — decorator, caterer, entertainer — for evidence of public liability insurance.
• Your suppliers work within your hire period and you're responsible for them while they're here.

8Guests and conduct

• The suite holds approximately 80 guests. Numbers must not exceed what was agreed at booking.
• Children are welcome and must be supervised by an adult at all times.
• The XL Suite is an alcohol-free and smoke-free venue.
• Please follow our team's instructions and keep fire exits clear.
• We may bring an event to an end, without refund, if behaviour is unsafe, abusive, or is damaging the suite.

9Parking and belongings

• Free parking is available — around 25 spaces, plus unloading spaces by the entrance. Park sensibly and never block another vehicle in. Vehicles are parked at the owner's risk.
• We're not responsible for loss of or damage to personal belongings or suppliers' equipment.
• Anything left behind is kept for seven days.

10Our liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence. Beyond that, our liability to you is limited to the amount you've paid for the booking.
